Vinimaya: Taking Their Procurement Marketplace Global, Part III

In Part I we noted that since we last covered Vinimaya, the B2B Search Engine that was the the next wave in product catalogue management with their ability to do real-time federated search across all of your supplier databases, catalogues, and punch-outs through a single consumer-like search and shop interface, they have continued building out their base platform, adding (more extensive) auditing capability, workflow-based catalog management, quick-quote (RFX) capability, e-Forms, deep analytics capability, mobile capabilities, and social integration on top of a base platform that supported content management, federated search, powerful connectivity options, personalization and customization, globalization, and an easy to use shopping cart. Then, in Part II, we focused in on their vTransport and their new quick-order and e-Forms functionality, known as vQuote. Today we’re going to dive a little deeper into five of the new capabilities added since our last major review, starting with vQuote.

vQuote
vQuote was specifically designed for the time when multiple bids is the right, or only, option but the situation does not warrant a full-scale sourcing event. For example, unless the organization is bundling the printer cartridge spend with the printers (which is generally NOT a good idea, by the way, since most printer manufacturers make their money off of ink that costs more than blood), running a full sourcing event to award next year’s printer cartridge buy is not worth the effort. Also, many small projects in the public sector, such as network support services at a small local government office, have to go to bid, but aren’t worth full scale sourcing events either. In this case, a quick quote — often to known suppliers already in the system, is typically the way to go. The Vinimaya vQuote solution was designed to make this process as quick, easy, and painless as possible — whether the request for quote was going to existing suppliers in the system or to new suppliers.

Since it was designed specifically for those categories of buys that fit between spot-buy from a catalog and full-fledged sourcing event, Vinimaya was able to streamline the solution significantly. Creating a quote request is as easy as giving a quote a name, specifying line items, selecting suppliers, and providing a due date – which can all be done on a single screen. If the line items are services, a SOW can be attached and quickly sent off. The buyer can see the status of the quote requests on a summary screen, review each quote as it is returned, compare them side-by-side in a summary report, and select a winner just by marking a quote, or line item from a quote, as awarded. It’s as quick and simple as a quoting solution can get and meet the needs of the quoting category they designed for.

vRank
vRank is the ability for a senior buyer or contract manager to ensure that contract items always appear first in the search results, that items from preferred suppliers always appear before items from non-preferred suppliers, and that prohibited items never appear. Basically, the administrator has the ability to assign each item that appears in a search result a rank between 1 (do not include) and 4 (show first), where 3 is (show ahead of other items) and 2 is (normal rank). It’s pretty simple, and it works based on the simple fact that almost half of all people who use search functionality click on the first link that is returned. (Recent Google statistics indicate that a whopping 47% of searchers click on the first search result.) The ranks can be applied to individual items or suppliers, with item ranks overriding supplier ranks). In addition, these ranks can be defined in real-time on every search and will take effect immediately on all future searches. This allows an administrator to define priorities as needed based upon what users are actually searching for and buying, saving a lot of up-front configuration to define ranks for products that might not even be searched for!

vCatalog
vCatalog updates the capability Vinimaya has always had to manage local catalogs in a manner that pushes all of the work back on the supplier. With vCatalog, a supplier that is not technical enough to, or that does not want to, maintain a punch-out or other on-line catalog can upload their entire catalog to the buyer through a web portal. The catalog file is completely validated, and any errors are pushed back to the supplier, with specific details on the error, for correction before it is allowed to be pushed to production.

vAudit
vAudit is what allows a buying organization to take advantage of vendor managed catalogs with confidence. It continuously monitors products and pricing from punch-out, vCatalog, and web-db suppliers to make sure that prices are compliant with contracted prices or original quotes. As soon as a price is detected that is above the contracted price, the appropriate buyer representative is alerted to the issue. The system can be configured in three different ways:

  1. block a purchase for a product over the contract amount
  2. allow the checkout to proceed, but don’t send the PO to the supplier until the price is corrected
    (and alert an administrator to contact the supplier to get the price fixed)
  3. allow the checkout to proceed at the current price, but tag the item for proactive cost recovery

With the vAudit solution, it’s quick and painless to retrieve a report of all items bought above contract or quoted price in a given timeframe, and just as simple to break it down by supplier to allow the AP department to go after suppliers for money owed.

vAnalytics
vAnalytics is Vinimaya’s new reporting engine that was designed to provide Procurement Directors with an understanding of what people were buying and how they were selecting the items they were buying. With the understanding that the purchase process cannot be optimized without a good understanding of shopper behaviour, Vinimaya built a platform that allowed a Procurement Director to understand not only the the top purchases, the top suppliers, and the top buyers, but also the top search terms, the items they led to, the failed search terms, and the actions the buyer took on a failed search.

vAnalytics, which includes a report builder, has all of the standard reporting package features you would expect in a Procurement reporting system and allows reports to be created by supplier, buyer, item, and even checkout process. Common report types include unique users, spend by supplier, line items by supplier, utilization by search time, and out of compliance check-outs (if they are permitted). Since these reports are against real-time data (and not cached in an OLAP system), some can take a few minutes to run, but those restricted to a single-user or supplier will typically be quite responsive. And, of course, all data in the entire Vinimaya platform is exportable.

Vinimaya has also made advancements in mobile and social, but these enhancements will be the subject of a future post on the Vinimaya Global Procurement Marketplace.

Vinimaya: Taking Their Procurement Marketplace Global, Part II

In Part I we noted that Vinimaya, despite scaling back on their marketing efforts for about two years, has been hard at work extending their core Procurement Marketplace platform to be a fully-featured Procurement Marketplace platform that fills the gap that ERP e-Procurement solutions leave wide open. Specifically, while the average ERP e-Procurement solution does great when it comes to master data management; workflow, approval, and PO management; and financial system integration; it doesn’t do so hot when it comes to content management, search, ordering, and invoice management. (Just ask vendors like Wallmedien that became the number one e-Procurement provider in Germany by filling in the holes in the SAP e-Procurement solution and Nipendo that is growing fast here in North America by offering an e-Invoice management and automation solution that most e-Procurement solutions are missing.)

The proof that Vinimaya fills the gap is, as they say, in the pudding that a large number of large organizations are eating. The Vinimaya solution, which has had great success in the private and public sectors, and which supports 37 different currencies, is utilized by buyers and suppliers in 13 languages across 80 countries on 6 different continents. That’s pretty damn good for a small company with less than 75 employees headquartered in Cincinnati, Ohio. Vinimaya’s success is due to the uniqueness it brings to the table. A unique federated search capability, a pure focus on the features other platforms lack, and a rapid implementation timeline (as a customer can go live on already supported supplier [platforms] immediately and most suppliers can be added within 24 hours) are just some of the reasons for their success. Other reasons include the platform’s ability to validate pricing in real time, force compliance if required, track pricing discrepancies, and get an organization’s spend under management.

And then there’s Vinimaya’s new vTransport solution that runs on top of their marketplace. One of the big inefficiencies in most Procurement organizations is invoice management and automation. With no standard means of invoice receipt and management, most large organizations require teams of tactical AP personnel who spend the vast majority of their time simply entering invoices into the payment system and validating basic information. In addition, due to limited manpower, only one in ten invoices gets fully validated and the result is a large number of overpayments, duplicate payments, and fraudulent payments. (There’s a reason that the recovery industry is still thriving and vendors like Lavante are building automated recovery solutions.) Like Nipendo, Vinimaya also recognized this issue and also recognized that many of the invoices are for goods and services requisitioned by organization personnel — most of which, if the solution is fully deployed and effectively utilized, should be bought through the Vinimaya platform.

So they acquired a leading PO and invoice management solution, improved it, and integrated it into their solution. With their new vTransport solution, POs can be delivered to the supplier through their mechanism of choice – XML, EDI, e-Document, supplier network, PDF scan attached to an e-mail, or old-fashioned fax, and then the invoice can be returned to the buyer through their mechanism of choice. And everything can be pulled direct from the central ERP data store and pushed back into the ERP workflow when received. In addition, the POs and invoices can pass through the Vinimaya audit engines which can verify prices and totals and limits to make sure no overcharges or fraudulent invoices get through. While the solution isn’t as extensive as you’ll get from a provider like Nipendo (which also has a print-to-cloud solution and [third-party] I-OCR integration), it’s considerably more extensive than the vast majority of e-Procurement solutions (and definitely way more extensive than what ERP offers) and will give most organizations an 80%+ solution. (The only POs and invoices missing will be for goods and servies not put through the platform – but such requisitions and invoices should be few and far between if the platform is fully deployed.) And the fact that it works with all of the big ERP and AP Systems (including Oracle, PeopleSoft, JDE, SAP, Lawson, Ariba, iValua, Microsoft, etc) out of the box is a big plus for organizations that want a good e-Procurement solution that is going to rapidly get their Spend Under Management (SUM).

Also, as indicated in our last post, the core platform has been extended, the UI has been revamped, and the performance has been accelerated greatly. Like many of the other e-Procurement players (like Coupa and b-Pack), Vinimaya has kept a close eye on consumer search and shopping (cart) technology and has incorporated the best features you’ll find on the web into their platform. Not only can you search all of the catalogs, punch-outs, and marketplaces relevant to your procurement needs in one federated search and dynamically validate the pricing and availability in real time, but you can filter on suppliers, price, and other relevant attributes dynamically, compare items in detailed comparison views, filter preferred items (based on simple or complex rankings) to the top, and track the price (and purchase) history of each item in real-time. Plus, the interface can be configured to each buyer and by each buyer to meet their particular needs.

Vinimaya has also added new quick-order and e-Forms functionality to support regular (re-orders) of products and services from suppliers based on standard catalog numbers (which a buyer probably has memorized) and standard organizational needs. The forms can be used for both simple and complex services, and templates can be pre-configured to meet all different types of service and manpower needs, including janitorial, (simple) advertising, and internal full-time and contingent workforce positions. In addition, buyers can also use them to make free-form requests and send them to the appropriate suppliers using the new quick-quote functionality. While not as extensive as what you will find in the Contingent Workforce or Agency Management solutions, it’s more than enough for most goods-based industries.

And extensive improvements have been made to auditing and analytics, but that, as well as other new development, will be the subject of a future post in this series on Vinimaya’s Global Procurement Marketplace.

Vinimaya: Taking Their Procurement Marketplace Global, Part I

When we last covered Vinimaya, the B2B Search Engine, back in 2008, they were the next wave in product catalogue management. Remembering that Networks are ok. Catalogs are Good. Punch-outs are Better. But Agents are King!, we noted that Vinimaya was the first solution that did real-time federated search across all of your supplier databases, catalogues, and punch-outs through a single consumer-like search and shop interface.

And, unlike other procurement enablement solutions of the day, a buyer could be up and running in a day with all suppliers that provided formatted catalogues, standard punch-outs, or industry standard APIs and the majority of remaining suppliers could be brought on with about one day’s worth of effort due to their extensively configurable agent architecture specially designed to integrate with punch-outs, catalogues, EDI, XML, marketplaces, and industry standard database APIs. And even the 25% of suppliers that did not fall into the quick enable category could typically be enabled in 3 to 5 days.

The solution was the first to give the buyer total control over access, view, and pricing with their local pricing and audit engine capabilities. Marketplace pricing could be over-riden with contract pricing if and when required. And the platform worked beautifully. In 2008, their five largest implementations supported over 30K users and allowed hundreds of suppliers to be searched simultaneously through one federated view.

But Vinimaya didn’t stand still. While they may have had a brief hiccup on the marketing side during 2009 – 2011 due to management changes and the relocation of corporate headquarters, product development kept on trucking and since then have built a large number of new and impressive features and capabilities on top of the industry leading procurement marketplace technology that Vinimaya built between 2003 and 2009. (One has to remember that Vinimaya was the first vendor with [patented] federated search back in 2003, the first “simple search” of all content sources, the first forced ranking solution for products and searches across all content sources, and the first to offer real-time audit of pricing across punch-out supplier search results. In addition, it is now the first solution SI has seen that offers universal search results and shopping from within your ERP e-Procurement solution.)

On top of their base platform, that supported content management, federated search, powerful connectivity options, personalization and customization, globalization, and an easy to use shopping cart with authentication and single sign on, user roles and permission, Vinimaya has added (more extensive) auditing capability, workflow-based catalog management, quick-quote (RFX) capability, e-Forms, deep analytics capability, mobile capabilities, and social integration as well as a new transport framework for managing Purchase Orders and Invoices. In the posts that follow, we’ll dive deeper into these new capabilities and the strides Vinimaya has made over the last four years.

It’s been a long time since Davie ran the Coupa Factory, and while there may have been a number of notable changes in management, one thing hasn’t changed at Coupa — and that’s the original product direction (and the heart of the development team*). Coupa’s goal is still to make the best P2P platform out there that’s so easy to use that even your grandmother and three-year old can use it and get all your spend under management (SUM).

In terms of progress since our last major review of the platform in 2009, which focussed on QuickStart, there has been a flurry of development — of a very interesting sorts. Having built one of the richest web-based P2P platforms on the market in three short years (with everything capable of being custom configured by an administrative user), Coupa made a very important realization — 90% of P2P is simple, straightforward, and limited in terms of required functionality. Find what you need, put in a requisition, get approval, cut the PO to the vendor, accept delivery, accept the invoice, queue it for verification and approval, issue the goods receipt, and make payment within the agreed upon timeframe when the invoice has been verified and the goods accepted. There’s not a lot of inventory management, logistics, payment structuring, etc. in an average corporate purchase made by an end-user outside of the Supply Management organization.

What there is, in fact, is a lot of bypassing of e-Procurement systems that make the process of getting your printer, paper, or widget for your production line more troublesome than going to the Best Buy website, the Office Depot website, or just calling up the supplier and asking for another shipment. So, if you want widespread adoption, which is the key to maximizing your SUM (Spend Under Management), you have to make it at least as easy to use as Amazon. Whether you’re using vendor catalog, punch-out, cXML, or an in-house catalog, searching, shopping, and requisitioning is seamlessly integrated. And it’s all accessible through their new Super Search Bar that seamlessly integrates Google search for what you need, Amazon browse by category, and free-form item/service search (which also allows product/service retrieval through internal or vendor product/service numbers) which can be global, by commodity, category, or vendor — depending on your configuration. Plus, their new dynamic shopping cart, which integrates accounting and budgeting data (so you know against what budget item a requisition will be charged, how much is left on the budget item, and how much will be left when the requisition is approved the minute you add an item to the cat), allows for split-billing and overrides in the cart in a process that is as easy as Amazon’s “one-click” checkout. And, policies can be linked to each item and service that allow for additional information within a search to be “popped-up” so the user can get full information (which can include budgetary and billing information) before an item is even added to the cart. Supplier taxes can be imported and validated against your own tax tables, fending off future nightmares for finance down the road. And when all is said and done, payments can be recorded and integrated with you ERP (and Coupa now supports out-of-the-box integrations with a couple of dozen major ERP and e-Procurement platforms).

Upon checkout, the system will automatically create the necessary requisitions (which will be sent to each individual who needs to approve an item in your master requisition), and, upon approval, the necessary POs for each vendor will be automatically generated and delivered — and all are easily accessible from your order history page with a single click.

The other big developments since our last major review are their Expense Management Solution, which was still in its infancy, and their new Spend Optimizer Solution, which could more accurately called a 360° Spend Visibility solution (which you can use as a starting point in spend analysis and spend optimization). Their Expense Management application is a great way to get your T&E under control (as iPhone integration allows expense reports to be automatically generated by users who simply have to take a picture of their receipt and import it into the application). They’ve taken usability to a new level with this one.

Spend Optimizer is their mega-dashboard reporting solution that is completely configurable and allows for the creation of just about any spend report you can dream up. Done right, you can have it display off-contract spend; late payments; budget overruns; high-spend categories, commodities, and vendors; and other spend hot-spots that could get you or your organization into hot-water down the road if not proactively managed by exception. It’s still a dashboard (which can be dangerous and dysfunctional), but you have the option to see green, see red, or see where the black holes are. It’s this last capability that makes the real difference between useless reporting tool and powerful spend miner, because, generally speaking, off-contract is where the trouble starts.

And brand-spanking new functionality is lined-up for fourth quarter. Their recent announcement that 9.635 Billion has passed through their platform is impressive, but when they pull off their next round of application development, that will be more so. Coupa is still a company to watch, so don’t take your eyes off them for too long.

GoTradeLive: A LinkedIn eBay on Steroids for Small Business Procurement to Groupon To.

GoTradeLive is launching its new, global, trading platform targeted at small and medium businesses in the US today. Its new free social commerce and commercial trading platform is poised to be as disruptive to the small business Procurement market as Coupa (Cabana) was when it was launched back in 2007 on Procurement Independence Day. This is not something the doctor says lightly.

So what is GoTradeLive? It is, simply put, a power-auction platform for small businesses on steroids. And what’s so great about that, you astutely ask because there are dozens, and dozens, of auction platforms out there ranging from free to seven figures in cost? It’s social. It’s networked. It’s mobile. It’s easy to use. It’s global (and multi-currency). It’s Free. It can be branded. And it’s proven — as it’s already been tested in Australia, New Zealand, China, and the UK, where they have offices.

Let’s take the benefits one-by-one.

  • It’s social
    You can create your own trading networks using a Facebook / Linked-In type interface and these can be public or private for public or private sales or trades.
  • It’s networked
    While the build-your-trading network ability of the Ariba or Ketera networks are not yet there, the building blocks are and you can see it’s coming. But the ability to define custom trading networks is unique.
  • It’s (a) mobile (platform)
    Like the consumer social networks and e-Commerce platforms, they have a mobile app that allows you to monitor your trades and bids from your mobile device.
  • It’s easy to use
    It’s as easy to use as Facebook, eBay, and other consumer sites.
  • It’s global.
    It has already been launched in Australasia and the UK and further global launches are already planned. It supports automatic currency translation for global buying and selling.
  • It’s Free.
    It’s using the Freemium model pioneered by sites like LinkedIn, DropBox, and BaseCamp. It literally costs nothing to use. No registration or account fees. No listing fees. No transaction fees. (However, if you don’t pay, you are subjected to ads and there is nothing to prevent an advertisement for a competitor’s product or auction appearing on your listing page.) Given that the cost of some platforms include transaction fees of up to 15%, this is a great deal.
  • It can be branded.
    For as little as $15 a month, which gives you one-user access, you can brand the site into your own trading platform (with your logo, colour scheme, etc.) and eliminate advertisements. Small Business Pricing is coming soon, and will start at less than $100 / month.

It’s a great social commerce platform for quickly moving slow, excess, or end-of life inventory and a great platform for many small businesses, especially those in retail, construction, and similar goods-based verticals, for spot-buying product needed at irregular intervals. And it has a lot of promise. This is one platform the doctor will be watching closely.
